As an Administrative Assistant, you will play a crucial role in supporting the efficient operation of various administrative functions within the university.

Main Responsibilities

  • Provide Administrative Support: Assist in daily administrative tasks such as answering phone calls, responding to emails, and handling inquiries from students, faculty, and staff.
  • Maintain Records: Organize and maintain both physical and digital records, ensuring accuracy and confidentiality.
  • Schedule Management: Coordinate appointments, meetings, and events, and manage calendars for university personnel.
  • Facilitate Communication: Act as a liaison between different departments, ensuring smooth communication and collaboration.
  • Assist in Event Planning: Support the planning and execution of university events, including conferences, seminars, and workshops.
  • Handle Correspondence: Draft, proofread, and edit documents, including memos, letters, and reports, as needed.
  • Manage Office Supplies: Monitor inventory levels and place orders for office supplies as necessary.
  • Perform Other Duties: Undertake additional tasks and responsibilities as assigned by the supervising authority.

Job Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and high level of accuracy in work.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Adaptability and willingness to learn new tasks.
  • Pakistani citizenship or valid work permit for employment in Pakistan.
