The University of Gwadar invites applications for the position of Administrative Assistant. As an Administrative Assistant, you will play a crucial role in supporting the efficient operation of various administrative functions within the university.
Main Responsibilities
- Provide Administrative Support: Assist in daily administrative tasks such as answering phone calls, responding to emails, and handling inquiries from students, faculty, and staff.
- Maintain Records: Organize and maintain both physical and digital records, ensuring accuracy and confidentiality.
- Schedule Management: Coordinate appointments, meetings, and events, and manage calendars for university personnel.
- Facilitate Communication: Act as a liaison between different departments, ensuring smooth communication and collaboration.
- Assist in Event Planning: Support the planning and execution of university events, including conferences, seminars, and workshops.
- Handle Correspondence: Draft, proofread, and edit documents, including memos, letters, and reports, as needed.
- Manage Office Supplies: Monitor inventory levels and place orders for office supplies as necessary.
- Perform Other Duties: Undertake additional tasks and responsibilities as assigned by the supervising authority.
Job Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal abilities.
- Attention to detail and high level of accuracy in work.
- Ability to maintain confidentiality and handle sensitive information discreetly.
- Adaptability and willingness to learn new tasks.
- Pakistani citizenship or valid work permit for employment in Pakistan.
