Job Description
NUML Islamabad is seeking a dynamic and organized individual to join our administrative team as an Administrative Assistant. The successful candidate will play a pivotal role in supporting the administrative functions of the university, contributing to the smooth operation of various departments and offices.
Main Responsibilities
- Provide administrative support to faculty, staff, and students, including handling inquiries, scheduling appointments, and managing correspondence.
- Assist in organizing and coordinating university events, meetings, and conferences, ensuring logistical arrangements are executed efficiently.
- Maintain and update records, databases, and filing systems to ensure accuracy and accessibility of information.
- Prepare and distribute internal communications, memos, and reports as required by department heads or university administration.
- Assist in procurement processes, including obtaining quotations, processing purchase orders, and managing inventory.
- Collaborate with other administrative staff to streamline procedures and improve operational efficiency.
- Perform general office duties such as photocopying, scanning, and filing documents.
- Any other administrative tasks as assigned by supervisors or management.
Job Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience (minimum 2 years) in an administrative role, preferably in an educational or academic setting.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Strong interpersonal and communication skills, both verbal and written.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to work effectively both independently and as part of a team.
- Flexibility to adapt to changing priorities and work under pressure.
- Knowledge of university policies and procedures is an asset.
